Cotswolds Salesforce Community Group: Custom Metadata

Coacto and Routine Automation were pleased to support the Cotswolds Salesforce Community Group in person on Thursday 2nd March at The Workplace in Cheltenham. The first event of 2023 was a huge success, with many members attending both in person and online to hear Michelle Hansen speak.

We’ll be sharing some of the important points from each speaker’s session over the next few weeks. Our next speaker blog takeaway is Michelle Hansen engaging session, which provides us an insight of what Custom Metadata is (see below):

Michelle demonstrated Custom Metadata, which is as simple to set up as a custom object and flexible enough to help you solve a variety of problems. Showed us what Custom Metadata is and how it is used in Flow to address a common use case, as well as other ideas for how you can use this incredibly versatile tool as a Salesforce Administrator!

Custom Metadata

Michelle described Custom Metadata as easy as building a custom object! But what can be used for?

Mapping data / Building relationships between data types

  • Mapping states or countries to regions

Creating business rules

  • Setting to whom specific email alerts should be sent based on custom criteria

Creating master data

  • Build records to hold standard charges or discounts for different opportunity types

Protected Information

  • Storing API keys securely in a protected package

Michelle also pointed out the limitations of Custom Metadata:

  • Not reportable
  • Not mass creatable/uploadable
  • Navigation Challenges
  • Not every field type is supported
  • Auto-Number, Formula, Currency, Geolocation, Picklist (Multi-Select), Text Area (Rich), Text (Encrypted), Time
  • Lookups only supported between Custom Metadata Types
